Clover POS training: how to install, manage and use your system

Everything your team needs to run Clover with confidence, written by the people who install it. Start with the hardware, move through catalog and staff setup, then learn the daily register flow, the reports that matter and the fixes that solve most issues before you call anyone.

Step 1: know which Clover device you are running

Every Clover model runs the same operating system and the same apps, so the training below applies across the line. What changes is the form factor and where it belongs on your floor.

  • Clover Station Duo

    Countertop workhorse with a merchant screen and a customer-facing screen, cash drawer and receipt printer. Best for full-service restaurants and busy retail.

  • Clover Mini

    Compact all-in-one for tight counters. Full register capability with a smaller footprint, and it doubles as a customer-facing terminal beside a Station.

  • Clover Flex

    Handheld with built-in printer, scanner, Wi-Fi and LTE. Pay-at-table, curbside, line busting, markets and mobile service calls.

  • Clover Kiosk

    Self-order terminal for quick service. Pushes orders straight to the kitchen display and lifts average ticket through guided upsells.

Write your model down before you call support. The fix for a printer fault on a Station Duo is not the fix for a Flex.

Step 2: install and activate the hardware

Plan for about an hour on a first install. Do it before opening, not during a shift.

  1. Place the device. Level surface, grounded outlet you control, and a network drop within reach. Keep the printer where the cashier can tear a receipt without turning around.
  2. Connect the hardware. Power to the hub first, then printer and cash drawer into the hub, then the device. The drawer usually chains through the printer port, so if the drawer never opens, check the printer cable before you blame the drawer.
  3. Get on the network. Ethernet whenever possible. If you use Wi-Fi, join a dedicated payments SSID, not the guest network. Flex should also have LTE enabled as a fallback.
  4. Activate. Enter the activation code from your welcome email. The device pairs to your merchant account and pulls down any catalog we preloaded during boarding.
  5. Update and test. Let the device finish updates, then run a small live sale on a real card, void it, and print a receipt. If all three work, the install is good.

When UXG Pay deploys the system, the device arrives with your catalog, tax rules, tip prompts, permissions and receipt branding already loaded, so step four is usually the whole job.

Step 3: build a catalog your staff can ring fast

A clean catalog is the difference between a four-second sale and a line out the door. Build it in the Inventory app on the device or, faster, in the Clover Dashboard on a laptop where you can bulk import a spreadsheet.

  • Categories first. Six to ten categories maximum on the register screen. Order them by how often they are rung, not alphabetically.
  • Items with real prices. Never train staff to key a manual amount. Manual entry is where mispriced tickets and missing sales data come from.
  • Modifier groups. Size, temperature, add-ons, cook level. Attach one group to many items rather than creating a separate item for every variation.
  • Tax rates per item. Virginia treats prepared food differently from packaged goods, and localities layer on their own meals tax. Set the rate at the item or category level once and stop correcting it at the register.
  • Labels and stock. Use labels to group reporting (for example "happy hour") and enable item-level stock tracking on anything you reorder.

Edits made in the Dashboard push to every paired device within seconds. Change the price once, not on four terminals.

Step 4: employees, PINs and permissions

Shared logins are the single most common Clover mistake we find on audits. If four people use one PIN, no void, discount or drawer count is attributable to anyone.

  • Admin: owner only. Full access to reporting, settings, refunds, inventory and employee records.
  • Manager: refunds, discounts, closeout and reporting. No account or banking changes.
  • Employee or Cashier: ring sales, take tips, print receipts. No reports, no refunds, no inventory edits.

Turn on the setting that requires a PIN before each transaction on shared terminals, and remove terminated staff the same day they leave. Tip and shift tracking only works if each person clocks in under their own profile.

Step 5: the daily register flow

This is the 30 minute portion of training that every cashier needs, and nothing more.

  • Take a sale. Register app, tap items, hit Pay, then let the customer tap, insert or swipe. Never pull a chip card early; the device tells you when to remove it.
  • Tips and signature. Tip prompts show on the customer screen. Set a no-signature threshold so small tickets clear without a scribble.
  • Receipts. Print, email or text. Digital receipts build the customer list you can market to later.
  • Open tabs and orders. Fire to the kitchen from the Orders app, split by item or evenly, and merge tables without re-ringing.
  • Void versus refund. Same day, batch still open: void. After settlement: refund from the Transactions app, which returns funds in two to five business days.
  • Closeout. Count the drawer, run the Closeout app, compare the cash total to the count, and investigate any variance the same night while people still remember the shift.

Step 6: the four reports that change decisions

Clover Dashboard reports everything. Owners only need to read four of them regularly.

  • Sales overview: revenue by day and hour. Use it to schedule labor against real demand instead of habit.
  • Item sales: top and bottom sellers by margin. Cut the bottom ten percent of the menu twice a year.
  • Employee performance: sales per hour, average ticket, void and discount counts by person. Voids clustered on one login are worth a conversation.
  • Payments and deposits: reconcile batches against bank deposits weekly so a funding issue never sits for a month.

Schedule the daily summary email to the owner and the weekly summary to your bookkeeper. Reports nobody opens do not count.

Step 7: apps, integrations and online ordering

The Clover App Market extends the register, but every app adds a monthly cost and a surface to support. Install deliberately.

  • Accounting sync so daily sales post to QuickBooks or Xero automatically.
  • Online ordering and delivery integrations that push straight into Orders.
  • Loyalty, gift cards and campaign tools tied to the receipt email list.
  • Scheduling and time-clock apps that read the same employee profiles.
  • Kitchen display to remove paper tickets from the line entirely.

Review installed apps quarterly and uninstall anything nobody used last month. We do this review with supported merchants as part of the account check-in.

Step 8: security and PCI habits at the register

Clover encrypts card data at the reader, which keeps most of your environment out of PCI scope. Staff behavior is what puts it back in.

  • Never write a card number on paper or key one into a note or chat.
  • Run payment devices on a segmented network, separate from guest Wi-Fi, cameras and back-office computers.
  • Inspect readers weekly for tampering or unfamiliar attachments.
  • Remove terminated employees the same day and rotate the Dashboard password.
  • Complete your annual SAQ and quarterly scans on time to avoid non-compliance fees.

Step 9: troubleshoot before you call

These five checks resolve most tickets we receive.

  • Device is offline

    Check the network icon. Restart the device by holding power about 10 seconds. If more than one device is down, the problem is the network or the ISP, not Clover.

  • Printer will not print

    Confirm paper, roll direction and a green status light, then re-pair in the Printers app. Thermal paper only prints on one side.

  • Card declines repeatedly

    Try another card. If every card declines, it is the account or the connection, not the customer, so call us.

  • Cash drawer will not open

    The drawer chains through the printer. Reseat the cable at the printer port before replacing anything.

  • Item rings the wrong price

    Fix it in the Dashboard, not at the register. The device syncs in seconds and the fix sticks across every terminal.

  • Batch did not close

    Open the Closeout app and close manually, then confirm the auto-close time in Setup so it does not repeat.

A 30-60-90 minute training plan you can run today

  • Next 30 minutes, shift leads: discounts, refunds, reprints, split and merge tickets, drawer counts and closeout.

Run a live drill at the end: one sale, one modifier, one void, one refund, one closeout. If a new hire can do all five unaided, they are ready for a shift.
